AI Routing & Prospect Matching

How MeetMatch uses AI to match each prospect with the rep most likely to close.

1What is AI routing?

MeetMatch's core feature is AI-powered prospect-to-rep matching. Instead of randomly assigning meetings via round-robin, MeetMatch analyzes historical outcomes to learn which reps close best with which types of prospects — then automatically routes new bookings to the rep most likely to win. This is the key difference between MeetMatch and traditional scheduling tools like Calendly or Cal.com.

2How the matching model works

The ML model trains on your team's past meeting outcomes (close/no-close, revenue, no-show history). It considers factors like:
  • Rep performance — each rep's close rate by prospect type, industry, and deal size.
  • Prospect signals — company size, industry, questionnaire answers, and engagement.
  • No-show risk — predicted likelihood the prospect won't show up.
  • Historical patterns — time of day, day of week, and other scheduling factors.
The model improves automatically as your team books and closes more meetings. You can see matching confidence scores on each appointment in the Appointments page.

3Matching methods

Each appointment shows how it was matched:
  • ML — the AI model chose the best rep based on predicted close probability.
  • Round Robin — distributed evenly when the model doesn't have enough data yet (typically the first 20–30 meetings).
  • Random Holdout — a small percentage of meetings are randomly assigned to measure the AI's lift vs. random assignment (built-in A/B testing).
  • Manual — a salesperson or admin manually assigned the meeting.
  • Personal Room — the prospect booked directly with a specific rep.

4Built-in A/B testing

MeetMatch automatically runs a controlled experiment by routing a small holdout group of meetings randomly (instead of via AI). This lets you measure the exact dollar lift that AI routing provides compared to round-robin. View the results on the Analytics page under the ROI section.

5Getting started with AI routing

To enable AI routing:
  1. Book meetings — the model needs at least 20–30 completed meetings with outcomes to start learning.
  2. Record outcomes — after each meeting, mark whether the prospect converted and the revenue amount. The more outcomes you log, the smarter the model gets.
  3. Use MeetMatch Video — recording calls with the built-in video adds call analytics data that improves matching accuracy.
Once the model has enough data, it automatically switches from round-robin to AI routing. You'll see the matching method change from "round robin" to "ml" on new appointments.
