HubSpot Data Sync

What data flows between HubSpot and MeetMatch, and when.

1HubSpot to MeetMatch (automatic)

These records sync in real time via webhooks as soon as changes happen in HubSpot:
  • Contacts: name, email, phone, job title, lifecycle stage
  • Companies: industry, employee count, domain (enrichment used for routing)
  • Deals: pipeline, stage, and amount (read-only, used as routing signals)
  • Owners: rep assignments, which feed into the owner mapping
Meeting records from HubSpot are pulled during a bulk sync (click Sync Now in Settings). They are not pushed by webhooks because HubSpot's meeting webhook support is limited.

2MeetMatch to HubSpot (automatic)

When a prospect books through MeetMatch, the following writes back to HubSpot:
  • A new meeting record associated with the contact
  • A new contact if the prospect does not already exist in HubSpot
  • Meeting updates on reschedule or cancellation
  • Meeting outcomes: completed, no-show, or converted
All write-backs happen within seconds of the event.

3What does not sync

MeetMatch does not modify your HubSpot deals, pipelines, companies, or workflows. It reads deal and company data for routing but never writes to those objects. Internal MeetMatch features like coaching scores, call recordings, and warming sequences stay in MeetMatch.
